JOB SUMMARY:
Provides comprehensive administrative support for day-to-day operations of the PNW (Pacific Northwest Operations) Production Department. Works closely with other departments throughout the organization providing a customer focused and effective Production support service to achieve departmental and organization goals and objectives. Responsible for stockseed planning and inventory tasks, completing various reports, and maintaining correspondence with other members of the Production Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Commercial Production:
- Prepares contracts for growers utilizing CRW’s and sends to Branch Manager/Agronomists for approval. Uploads signed contracts into the system.
- Reviews prepared Phytosanitary Inspection forms for field inspection of crops and sends phytos to State of Washington so field inspection numbers can be assigned.
- Tracks, organizes, and requests Phyto Certificates and Disease Letters from Counties after seed is shipped out.
- Ensure all lots have correctly assigned PQ numbers updated in the system.
- Work with planning Manager and QA to ensure all relevant diseases are listed on the field inspection yearly.
- Assists in keeping Weekly Crop Status Report for PNW and NZ regions updated and sends updated crop status changes to the Production team.
- Receiving Seed – Reports as Finished into the system and sends Woodland all necessary backup paperwork.
- Assists WW Area Production Manager as needed.
Accounting:
- Maintains invoice files on all purchases made for PNW cost centers.
- Codes and reviews all invoices for Branch Manager approval.
- Submit invoices for payment as well as distributing invoices for production to appropriate staff members.
- Reconciles end of month statements.
- Maintains vendor information, W-9’s, and files.
- Assists in planning and managing PNW budgets as needed.
- Monitor progress of grower payments.
- Prepare submission of grower advance payments in the system
- Submit grower cost invoices for approval.
General:
- Provide backup for office receptionist.
- Maintains Production files, and assists, prepares, and distributes reports as requested.
- Coordinates and maintains notes for staff meetings.
- Maintains Production Department’s visitor schedule.
- Coordinates Production activities (i.e.meetings) in the Burlington office; orders supplies and food when needed.
- Assists with travel and/or hotel reservations for the PNW production team.
Stock Seed:
- Assist Stockseed Manager in updating stockseed inventory quality data of assigned species. This includes ensuring necessary testing is done, managing substandard review codes, and discarding seed.
- Responsible for production order, purchase order, and sales order completion of assigned species.
- Maintain optimal correspondence with other Stockseed and Supply Planners to achieve adequate supply and the timely shipping of stockseed.
- Other duties and special projects as assigned.
REQUIRED KNOWLEDGE/SKILLS/ABILITIES:
- Must have thorough knowledge of business English, spelling and punctuation
- and knowledge of office practices, procedures and equipment.
- Must have knowledge of methods and techniques used in record keeping
- systems.
- Must have excellent Microsoft office and excel skills and ability to accurately prepare a wide variety of correspondence and reports.
- Must be able to interface effectively with management, fellow employees and the
- general public.
- Must have excellent typing skills, mathematical aptitude and writing ability.
- Ability to handle stress especially when encountering necessary projects, deadlines and/or high workload.
- Must be able to work under strict time constraints and requirements.
- Must have ability to maintain consistent promptness in arriving to work at scheduled times.
- Must maintain confidentiality regarding messages, telephone calls, and other company correspondence.
EXPERIENCE AND BACKGROUND:
- Minimum five years office services experience required, or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
- High school graduate or equivalent required.
- Some college level courses desired
WORKING CONDITIONS/PHYSICAL DEMANDS:
- Must be able to type or work at computer terminal for long periods of time.
- Must be able to sit for long periods of time.
COMPENSATION & BENEFITS:
- Salary: $52,000- $64,500 per year
